Scheduling

The Education Center operates year-round in all safe weather conditions. School groups can book days in all seasons: spring, summer, fall and winter. Call 330-657-2796 ext. 100 for available dates.

At the start of each calendar year, the Education Center notifies schools and posts a calendar and download link to the Program Application Form on our website. Groups that attended in December, January, or February of the current school year get priority in scheduling for the next year. We will do our best to accommodate your needs. Schools generally schedule trips by March for the following school year.

Financial Aid Options

Our goal is no student is turned away due to lack of funds. The Education Center is proud to offer you a way to reduce the overall cost of your trip.

REQUEST AID – Scholarships are based on free and reduced lunch percentages at your school. This information needs to be provided at the time of the application. After we receive this information from the lead teacher, he/she will receive an email indicating the maximum amount of aid we can grant.

Financial aid is available for students whose families are unable to fully fund their trip to Education Center. Thanks to funding from generous donors, we average more than $125,000 in financial aid given each school year.

 

The Contract

The contract is the most important form involved in scheduling a trip. Your group will not have a trip reserved until we receive this completed form and the accompanying deposit. The contract will be sent to you after you have contacted us with requested dates and group numbers for your desired visit. You may provide us with this information via phone call, e-mail or by sending us the Program Application Form mentioned above. The contract contains vital details about your group. It is very important that this information is complete. The contract also contains our terms of agreement and cancellation policy. Please read these carefully.

Set Your Dates

Cancellation & Payment Policy

Groups are scheduled more than a year in advance. Thus, we adhere to the following billing practices:

We hold dates firm after receiving signed contracts. If cancellation is unavoidable, please contact the
Education Center in writing as soon as possible.


Cancellation:

  1. If a contract has been signed, a penalty fee of 30% of the estimated bill, as indicated on the contract, will be assessed to the school. If another school can be found for these dates, the penalty fee may be waived.
  2. If your school closes due to weather conditions, we will negotiate the fee based on the length of your stay. We cannot guarantee substitution dates.
  3. If cancellation occurs for any reason other than school closing, within 7 days of your stay the penalty fee will increase to 50% of your estimated bill.

Payment Policy:

The fee for the 2017-2018 school year is $225 per student.

  1. If you have received the early signing discount, this will be reflected in your contract.
  2. The trip coordinator and one adult for every 8 students that you bring may attend free of cost. Meals for additional adults will be charged at a rate of $7.00 per meal.
  3. Schools will be billed based on the number of students present at arrival.
  4. If you bring less than 90% of your estimated number of students on the contract, then you will be billed for the estimated number.
  5. If a student leaves for medical reasons, a partial refund may be made for up to 50% of the registration fee, depending on the time of departure.
  6. Departures made for reasons other than sickness do not receive a refund.
